Policies and Requirements

Please be aware of the following requirements when considering utilizing Columbia Conference Housing for your event guests.

Insurance and License (if applicable)

  • Commercial General Liability Insurance with a combined single limit of liability for bodily injury and property damage of $2,000,000 per occurrence and $4,000,000 in the aggregate. The policy shall be endorsed to include The Trustees of Columbia University in the City of New York as an additional insured and include coverage for, but not be limited to, personal injury, property damage, and contractual liability. If Licensee’s program includes minors, the combined single limit per occurrence shall not be less than $5,000,000, and $5,000,000 in the aggregate (limits can be a combination of primary Commercial General Liability and Umbrella Liability Insurance), which must include sexual abuse and molestation (“SAM”) insurance covering such claims, and Licensee should confirm its SAM coverage by way of policy endorsement.  
  • If automobiles will be used on campus during the agreement, proof of Automobile Liability Insurance covering all owned, non-owned and hired vehicles with combined single limit of liability for bodily injury and property damage of $1,000,000 per occurrence and in the aggregate.  The policy shall be endorsed to include The Trustees of Columbia University in the City of New York as an additional named insured.  
  • If the Licensee has employees on University premises in connection with the scheduled conference, Workers’ Compensation and Employer’s Liability Insurance covering each employee of the licensee with a limit of liability in accordance with the applicable law in the case of Workers’ Compensation Insurance and with a limit of liability of not less than $1,000,000 each accident, $1,000,000 disease policy limit and $1,000,000 disease each employee in the case of Employer’s Liability Insurance.
  • The Licensee shall also provide proof prior to the scheduled conference date of adequate Medical Insurance for staff members who are not employees and participants in the licensee’s program.

Minors

  • Conference participants must be no younger than 14 years of age.
  • Adult, live-in supervision is required for all groups with minors.  
  • Columbia Housing policy requires one (1) adult, eight-teen of age or older, for every seven (7) minors in attendance. 
  • Background checks and training must be completed for all adults supervising minors. The group must be able to provide completed background checks and proof of training completion to the Office of University Compliance, Protection of Minors.

Health Requirements

  • Ensure that all your program participants meet the University’s vaccination requirements. All conference guests accessing and staying on campus must abide by the University’s health and safety guidance. Guests

  • Conference participants, regardless of Columbia affiliation, are not permitted guests during their stay.
